Item Issue

The Item Issue inventory transaction page is used to take an item out of a warehouse's inventory and assign it to a work request. Once issued, that item and the costs associated with it are entered on the request's Work Order Financial page.

The Item Issue transaction is only available if Advanced Inventory is enabled.

An item issue transaction must be from a single work request and from a single warehouse. To open the Item Issue page:

  1. Access the Inventory module by clicking the Inventory link at the top of the page.

  2. Select the Transactions tab.

  3. At the top of the page, click the Item Issue link.

You can perform the following operations on this page.

ClosedIssue Items

Issuing items takes the selected items out of inventory and issues them to the specified work request. The cost of all issued items is added to the Work Order Financial page.

  1. In the Request ID field, enter the ID number of the work request the inventory items will be issued to.

  2. Press the Enter key on your keyboard.

    The Item Issue page displays a summary of the specified request. Examine the request information to ensure that you are issuing the items to the appropriate request.

  3. In the Warehouse field, select the warehouse you want to issue items from.

    If shopping carts are associated with this request, a Shopping Cart field appears containing a list of the shopping carts associated with the selected warehouse. For more information about selecting items from a shopping cart, see Shopping Cart.

  4. In the Issue Date field, select the date on which the items will be issued.

    This field defaults to today's date.

  5. Click the Issue To Select link to indicate the user that will receive the items.

    This value defaults to the user who the work request was assigned to, but you can select a different user if needed. If you do not want to specify the name of the person that will receive the items, click the Clear link.

  6. Select the items you want to issue to this request.

    Items can be loaded in from a shopping cart or selected individually.

    You can use a combination of both techniques to select items; however, if you are adding items from a shopping cart, you should load these items first. Selecting a shopping cart replaces any items currently on the list with the contents of the shopping cart.

    Shopping Cart

    If one or more shopping carts have been created for this request and warehouse, a Shopping Cart field appears allowing you to load the items from the cart into your item list. Only shopping carts that have been checked out can be selected.

    • By default, the first shopping cart and all of the items in it will be loaded when the page opens.
    • If you want to load a different shopping cart, select it. Only items that were reserved in the selected cart are added.
    • If you want to remove an item, click the Clear link to the right of the item number.
    • To view more information about the selected shopping cart, click the Cart Details link to view the cart status, requested delivery date, delivery instructions, and a list of items in the cart.

    Select Items

    You can also directly select individual items to add to your item list.

    • Click the Select link to the left of the first item field. A dialog box opens, allowing you to locate and select the item you want to add.
    • You must select the item from the appropriate warehouse.
  7. For each item, specify the following values:

    1. In the Bin field, select the bin you want to take the item from.

    2. In the Lot field, select the lot you want to take the items from.

      The lot field only appears for lot-controlled items.

    3. In the Qty - Issued field, enter the quantity of items you want to issue.

      You can use the following values to help determine the quantity to issue:

      • Show Details – select this check box to display the quantity of the item in each bin and lot
      • Qty. Available – the quantity available in the warehouse
      • UOM – the unit of measure for the items
  8. Select the Show Details check box to view more details about each item.

    • Release Remaining – For items issued from a shopping cart only, select this check box to issue fewer items than indicated in the shopping cart and release the remaining items back to the warehouse. For example, if the shopping cart indicates a quantity of 5 items, you could enter 3 in the Qty. Issued field and select this check box to send the remaining 2 items back to the warehouse. You can release all items by entering 0 in the Qty. Issued field.
    • Bin – This field lists each bin containing the specified item and the quantity in each bin.
    • Lot Number – For lot controlled items only, this field indicates the lot number.
    • Expiration – For lot controlled items only, this field indicates the lot expiration date
  9. If you want to remove an item from the item list, click the Clear link to the left of the item.

  10. Repeat steps 4 through 6 until all of the items you want to issue are on the list.

  11. Click ISSUE.

The items are taken out of inventory and issued to the work request.

If the items were loaded from a shopping cart, the shopping cart status is updated to reflect that items were issued. If all items were issued the cart status becomes Closed. If only some of the items were issued, the cart status becomes Partially Issued.

The item issue transaction is assigned a transaction number and a record of the transaction appears at the bottom of the page. The following information is displayed:

  • Issue # – the item issue transaction number

  • Part # – the part number for the item; clicking this link opens the Material Item Detail page

  • Warehouse – the warehouse the item was issued from

  • UOM – the unit of measure for the item

  • Qyt Issued – the quantity of items issued

  • Bin – the bin the issued items were stored in

  • Lot – For lot controlled items only, the lot the issued items came from

  • Entered By – the name of the person performing the item issue transaction

  • Entered Date – the date when items were issued

If you examine the Work Order Financial page for the request, the issued items are displayed in the Cost Summary.

ClosedRestock Items

If items were issued but were not needed to complete a request, they can be returned to inventory and restocked. To restock items:

  1. Select the warehouse you want to return the items to.

  2. Locate the transaction in which the items were issued in the ISSUE RECORDS FOR THIS REQUEST pane at the bottom of the page.

  3. Click the RESTOCK button to the right of the transaction.

    A dialog box opens, allowing you to enter information about the items you want to restock.

  4. In the Restock Qty field, enter the number of items you want to restock for each item you are returning.

    The number you enter must be equal to or less than the number issued.

  5. Click UPDATE.

    The row corresponding to the return is added to the existing issue transaction indicating the number of items restocked as a negative value. The inventory module updates the On Hand quantity of the item.
